Proposed Changes to System

• Proposal to Use Automated Process to Make Duplicate Order Numbers Unique
  • There are currently duplicate order numbers in Aleph that Aleph doesn't handle well and users can't manipulate without ITD intervention. ITD would like to use an automated process to make those numbers unique to prevent future problems with them. Campuses with orders that would be impacted are BL, BS, CP, FS, ML, MS, TU, and UB.
  • There are 769 orders with non-unique order numbers in Aleph. 157 order numbers are involved, and the largest count for one order number is 70. ITD proposes to make these order numbers unique by appending a sequence number (--nn). A list of the impacted orders is attached.
• Using ERM ID field in Acquisitions Order Records (Status: Fall: implemented)
• Proposed change to Material Type and Material Format drop-downs: Written Justification and Change Details
• Proposed Currency Deletions (7/29/09, being implemented)
• Proposed Change to Timetable of Serials Claims report (1/30/09: implemented)

Procedures for Proposed Changes:

1. Someone proposes a change.
2. ASTG discusses the change.
3. ITD reviews the change for feasibility.
4. ASTG sends a proposal to COIALL requesting feedback.
5. ASTG reports back to the COI a summary of feedback received and its decision.
6. ASTG requests that ITD develop.
7. If initial development is done in test, ASTG tests.
8. ITD notifies ASTG of expected roll-out date.
9. ASTG announces roll-out date to the COI.
10. ITD notifies ASTG that development is complete and ASTG notifies the COI. If initial development was done in live, ASTG tests.
