Index Change Proposals:

1. Delete these indexes:
   

   The Task Force recommends deletion of certain indexes as they are not prompted for searching in GUI or WebPac either as drop down selections on basic or advanced search pages nor mentioned as available for Common Command Language (CCL) searching in WebPac Help. Some that are prompted in GUI Pac are expendable.

   • WCS (W-Chron. Subdiv.), WGN (W-Form Subdiv.), WSB (W-Gen. Subdiv.), WGS (W-Geograph. Subdiv.)
     TF recommends retaining the Heading indexes for categories of subject subdivisions (CHR (Chron. Subdiv.), FRM (Form Subdiv.), GEN (Gen. Subdiv.), GEO (Geograph. Subdiv.) in anticipation of Authorities and recommends deletion of the corresponding Word access to those subject subdivisions.
   • WUS (W-URL)
     Two URL indices were established (WUR & WUS), with the only difference between the two being the inclusion of 856 $x (staff note) in WUS.
     The TF recommends building only one index WUR which includes the 856/956 $x
   • DDP (Deduping Index)
     Has served it's purpose now that all institutions are merged
   • DSC (Sublib/Collection)
     Not needed with WSC (W-Sublib/Collection) in place
   • SER (Series Title)
     Favor enhanced SRS index
   • 036 (Org. Study no.)
     Expendable
   • 536 (Funding No.)
     Access available in WRD (Words) & WNO (W-Notes)
   • 016 (Natl Bib Agn Ctl No.) (includes 016 & 069)
     Expendable
   • 030 (CODEN)
     Expendable
   • 037 (Stock No.)
     Prompted in GUI but expendable
   • UPC (UPC/EAN/SICI)
     Numbers in tag 024 (other than ISMN/ISRC); expendable

     Based on Aleph record formats; prefer WBL (W-Bib lvl)
2. Add Index:
   
   • ADM # index
     Needed as more and more ADM system numbers do not match Bib system numbers and Acquisitions receipts and reports give ADM system number for records rather than Bib system number
3. Change these indexes:
   
   • WTI (W-Title)- Add 505$a, and change indicator to <any><any>
     WTI currently includes enhanced content note title data; change will support search responses based on titles in non-enhanced Content notes
   • CNL (Other call number) – add PST 1st indicator <blank> $h,i,j
     Call numbers converted without indicators will be included in the call number index for non-LC, non-SuDoc, non-Dewey call numbers
   • Index 260, 261, 262, 533 with <any, any> indicators in WIM (W-Imprint) and all WRD (Words) Permits access to all imprint tags irrespective of their indicators
   • FRM (Form Subdiv) - Change indicators for 655 to <any><any>
     Currently in tables as 655 <blank blank> which doesn't exist in MARC21, so 655 data is currently excluded from this index
   • GEO (Geograph. Sub.) - Change indicators for 651 to <any><any>
     Currently in tables as 651 <blank blank> which doesn't exist in MARC21, so 651 data is currently excluded from this index
   • WAU (W-Authors) - Change indicators for 508 and 550 to <any><any>
   • WNO (W-Notes) - Change indicators for 500, 501, 502, 504, 508, 518, 534, 536, 538, 546, 547, 550, 561, 562, 580 to <any><any>
   • WRD (Words) - Change indicators for 254, 255, 260 261, 262, 300, 500, 501, 502, 504, 508, 518, 533, 534, 536, 538, 546, 547, 550, 561, 562, 580, 752 to <any><any>
   • WSE (W-Series) - Change indicators for 533 to <any><any>
   • WTH (W-Theses) - Change indicators for 502 to <any><any>
   • WTI (W-Titles): Change indicators for 533 to <any><any>
   • WYR (W-Year) - Change indicators for 260, 261, 262 to <any><any>
   • Include $4 relator code in WAU (W-Authors) & WRD (Words)
     Allows limitation of personal name by role; music librarians use these codes to limit to Leonard Bernstein as prf (performer ) vs. cmp (composer) vs. cnd (conductor), etc.
   • WHN (W-Holdings notes) –add 590, 599, 866 $x & z
     Support ease of locating local notes; facilitates database maintenance.
   • Add 1XX/24X to AWT (Author with title)
   • Add author subfields to SRS (Series)
   • WUR (W-URL) add 856/956 $x
4. Test impact of change:
   
   • WYR (W-Year) –add 518
   • WLN (W-Language code)– addition of $b,d,e,g
   • PUB (Publisher) should not be a heading index
   • 027 (Standard Tech RptNo.) (not prompted) combine with 088 (REP No.)
   • SHL (Shelf List)- request was for SHL with $c and a separate shelf list index without $c; recommend test to see if removing the $c will support a shelf list by sublibrary
   • TTL - change indicators on entries 700/710/711/730 in index from <any> 2 to <any><any>
     Need to confirm 3PAC decision that all related title added entries are undesirable in the "regular" title browse prompted in WebPac (other than instances where the item represented by the related title added entry is contained in the item described by the bibliographic record) because, for instance, browse of title New York times in TTL gets 20 postings but could have over 400 postings if non-analytic related titles were included
   • AWT (Author with Title) vs. TUT (U. Title) - Would enhanced AWT (with 1XX/24X included) remove need for TUT index, with or without requested addition of 700, 710, 711? How does AWT perform in comparison with enhanced SRS (Series) index? Could usmai's title browse needs be served by 3 heading indexes (TTL, TRT, AWT) rather than six (TTL, TRT, AWT, TUT, SER, SRS)?
   • WTS (W-Type of serial) – doesn't function properly (returns nonserials) For example: WTS = n (for newspapers) returns sound recordings because tag 008 position 21 (where type of serial is recorded) has a different meaning in Music records. Must be combined with WBL (W-Bib lvl) in CCL searches to get correct response. Make it function in conjunction with Bib lvl s or b or delete?
5. Requests not supported:
   
   • Redefinition of the Journal filter to include all Serials
     3PAC spent considerable time before stp discussing how to define the Catalog subset that our users seem to be seeking when they ask at our desks "do you have a list of your journals?" The currently defined subset seems appropriate for the level of understanding of many of our undergraduates.
   • Merge meeting name index (MET) with corporate name index (COR)
     Users are looking for an index that will simply lead them to "named meetings." Merging the MET with COR will add an unnecessary level of complexity by yielding search results that include both "named meetings" and organizational or corporate names.
   • PLA (Hierarchical place name)
     PLA is not prompted in the WebPac CCL Help instructions. It should not be because it is not currently indexed. The Web table at http://alephprod.umd.edu/cgi-bin/indexes?lib=mai01 indicating that it is indexed is in error and should be refreshed.
6. Additional matters to follow up:
   
   • Adjust prompts in GUI Pac and WebPac affected by these changes and refresh Web table of Aleph indexes
   • Serials format limiter
   • List of indexes utilized in hotlinks from bibliographic records in WebPac
