Marcive Full New Record Loader ( rev. 20050216)

I. General Introduction to Processing

This loader loads to MAI01 and MAI02 (staging database) Marcive full new mono bibliographic records for government documents, and matches them against Marcive shipping list records for overlay. For profiled institutions, it also generates default holdings and items for online resources. ITD retrieves FTP files monthly from Marcive. Currently only monographic records and electronic-only serial records are loaded.

II. Bibliographic Record Processing

OCLC number in tag 001 will be transferred to tag 035 with blank indicators. Loader will add tag 950 $a MARCIVE FULL and timestamp to records loaded, new or overlay.

For all records loaded, new or overlay, loader will add a single tag XPT $a Y $b (OCLC institutional code) per institution based on 049s in record. OCLC institutional codes for profiled institutions are as follows:

Exceptions: For each institution represented in a 049 of the incoming record, the loader will not add tag XPT to records loaded if there are no HOLdings or Items after the records are loaded.
  1. Record matching Rules
    Match on tmp number in 035 with blank indicators. If match is found on tag 035 tmp number, always overlay existing record and check whether the incoming 035 ocm already exists in the database. If yes, then report out incoming record and system number of existing record to support manual de-duplication of bibs. If either no match is found on 035 tmp number or no 035 tmp number is in the incoming record, then match on ocm number in 035 with blank indicators. If 035 ocm number of incoming record is not in Aleph, then load record as new. If a single match is found, then always overlay. If incoming 035 ocm number matches multiple records, then report out system numbers of incoming & existing records to support manual de-duplication of bibs. If incoming record includes neither ocm number nor tmp number, do not load it and report it out.

    On match of tmp number, always overlay. On match of ocm number in single bib, always overlay. On match of ocm number in multiple bibs, report out incoming record and system numbers of existing records.

IV. HOLdings, Summary holdings, and Item Record Creation
If the incoming record includes one or more 074 tag with "(online)", the loader will create one HOLding and one Item record for the institutions listed in the record's 049s, unless HOLdings for the same locations already exist. Defaults are:

Use call number type "3" and derive call number from last 086 tag in bib. Generate no other default holdings or items.
