Draft Minutes for September 21, 2006

USMAI Executive Council of Library Directors
Thursday, September 21, 2006
12:00 p.m.-2:00 p.m.
UMBC Library, Room 767

Topic 1: Knowledgebase services

Ruschoff proposed sponsoring a forum on knowledgebase services other than SFX. The session would have a presentation from Serials Solutions, other vendors, and other USMAI campuses which are using Serials Solutions. There was some discussion of researching services offered by vendors as well as existing functionality in SFX. There was interest in learning more about current SFX knowledgebase services. Ruschoff will put sponsorship of the forum on the agenda for the task group chairs meeting on October 4th.

Topic 2: Usability Training

Univ. of Rochester licenses a two-day usability training session for $9,000. The goals of the training would be to broaden understanding of usability testing in consortium. It would accommodate up to 40 people. Potential attendees would include UITG members and campus staff interested or involved in usability testing. CLD Exec agreed to fund the training. Information at http://www.ala.org/ala/lita/litaevents/litaregionalinst/ucd.htm.

Topic 3: ARLD reception funding

Gontrum will send an email to CLD members asking for contributions, with the goal of covering the remaining $600 facilities fee.

Topic 4: Social Security Numbers/Patron Privacy Issues

The RSTG circulation subgroup wrote and vetted a specification to purge long inactive patrons. Over 30% of the patron database was purged as a result, reducing the number of patrons whose privacy we need to protect. Next phase is to determine how long we need to keep financial transaction data. Bush investigated approaches for removing SSN from the client-- this does not appear to be an option. Next steps are to engage Ex Libris in asking them to work on an enhancement to hide it from view, and ITD will also investigate options to suppress display, but make it still available for searching.

Phillips will follow up on the survey of local IDs and drafting of letters to bursar offices.

Lowry requested placing on a future CLD agenda the issue of security problems caused by open access to library computers.

Topic 5: USMAI Budget

Ruschoff reviewed information about the current budget. The Universal Power Supply will need replacement and will need to be included in the budget. Database expenditures coming out of central site and contingent fund are included. Ruschoff took questions on the budget and travel expenditures.

In-state travel reimbursement procedures need to be clarified and discussed at a future CLD meeting.

Topic 6: Portico

CLD Exec determined that funding Portico participation will not have a deleterious effect on the budget, so CLD will fund it out of central site funds.

Topic 7: Strategies for Achieving Report Needs

Data warehousing can't be taken on at our current staffing level, but ITD will be beginning the hiring process for a programmer in October who would participate in this effort.

Reports: CLD Exec would like task groups to work on identifying how reports can be made to map to NCES and other statistics. Campuses would like guidance on which reports to request to satisfy NCES statistics requests.

There was interest in clarifying how requests from CLD are transmitted to the task groups.

Topic 8: Appointment of Acquisitions/Serials Task Group

CLD Exec approved appointments of members to the Acquisitions/Serials Task Group. The group will need to appoint a chair in advance of the task group chairs meeting. Yalan Qi is the ITD liaison to the group.

Topic 9: COI on collection development

Gontrum brought forward an idea from her staff to form a COI for collection development. ITD will create the COI list and campus contacts will be asked to let their libraries know about its availability.

Announcements/Pop-ups:

CLD Exec extended its thanks to Gontrum's staff for their work on the USMAI E-News.

Carmit Marcus from Ex Libris will be visiting ITD in October to discuss:
