USMAI Council of Library Directors, Executive Council
Conference Call
August 20, 2009
Minutes

Attending: Celia Rabinowitz (SMSC), Alice Bahr (SU), Stephen Miller (UMUC), Deborah Nolan (TU), MJ Tooey (HS/HSL), Carlen Ruschoff (ITD);

Guests: David (FSU), Gillespie Larry Wilt (UMBC)

Topic: Central Site projections for FY10

Outcomes: The FY2009 Central Site fund ended the year with a balance of $1,223,292.  The Executive committee agreed to recommend to the CLD that the surplus minus $205,000 be distributed back to the campuses using the FY09 payment algorithm.  Funds may be transferred to campuses’ e-resource fund, equipment fund or back to the campus.  CLD will decide what to do with the $205,000 later in the year.  The options are: move it to the “contingency fund,” distribute it to campuses, or leave the money in the Central Site account.

Action: Rabinowitz will draft an e-mail with the recommendation to distribute the surplus funds to the campuses with a rationale for the dispersing the funds.  Directors will be asked to respond to the recommendation by noon on Sept. 3, 2009.

The Executive Committee reviewed the “discretionary” amounts in the FY10 Central Site projected expenditures.  These lines include: administrative travel and professional development.  It was agreed that the proposed amounts should be left as is.  Rabinowitz noted that the projected expenditure report shows areas where the CLD should reassess project activities in light of current developments in the resource discovery.  The Council may want to redirect financial and human resources to new projects that will have a greater impact for library users.

It was noted that the “salaries” in the financial report became garbled in the e-mail distribution.  .

Action: Ruschoff will remove the formula and replace the line with the correct dollar amount.  The report will be redistributed.
