Minutes of May 22, 2006 meeting

ERIC2:  : The group has not met since last month’s CPC meeting, therefore there were no new announcements. CPC observed that the notice on SFX enabled URLs that will be deleted from serial records in Aleph was included in ITD Status Report for May 2006.

Authorities Task Group:  : According to the current timeline, we are expecting the bib records to be loaded into Aleph Test on June 30. Prior to that, ITD will refresh the Test Database to get as good a copy of Live as possible. The June 30 load will then give us a very clear idea of how the process will really work and how long it will take. CPC will have 3–4 days to determine whether the reload process has worked as expected. Once the load of bib records into Live has been completed, ITD will process other loads that have been approved, reindex the whole database, and finally load the authority records. This means that for a time period bib records and authority records will not be in sync.

CPC will need to advise on authority permissions and User Interface Task Group (UITG) will need to determine what the final OPAC display should be. ITD will use a very small sample of records (five or six) to experiment with different options, tables etc, until they reach a satisfactory outcome. Wilma will work closely with UITG to ensure that their needs are met.

CPC asked the Authorities Task Group to mount all relevant documentation, timetable and decisions on their web site.

CPC is ready to propose to COIs that VC1/2 and VTAPE be replaced by VCASS. Based on campus cataloging contact responses, MEDIA and MFORM will have to be retained.

Next steps: Virginia will identify another set of material types to be considered for consolidation.

Gordana expects to complete the basic update to the document by May 26. Next steps: add sections on Accompanying materials and Authorities; investigate how different campuses handle bound-withs and determine how to address this in the Bib Standards document.

CPC discussed which role it should play in the upcoming Authorities Task Group Forum, which will probably be scheduled for this fall. CPC members felt it would be useful to clarify what the authorities process is expected to accomplish. They will also solicit questions from the USMAI community on the authorities process and will announce a timeline for the Authorities Task Group to complete their responsibilities and for CPC to take over. Wilma and Vicki will prepare introductory statements and questions for the forum.

During the LTI extraction process, CPC noted that a large body of brief records was included inappropriately in the extract because they carried an encoding level higher than they merited. This raises CPC interest in performing some assessments of legacy records and, possibly, automated encoding level corrections. In another matter, some institutions have special categories of records that they wish to protect from future overlays and merges. CPC liaisons will communicate with their campus cataloging contacts to find out more about these records, how they are used, and what the institutions intend to do with them in the future.
