USMAI Cataloging Policy Committee Meeting
January 12, 2007

  1. Decisions/Actions taken since last meeting
    1. The CPC sent to the COI’s for Cataloging and Database Maintenance and Serials/Acquisitions a request for comments on the recommendation to remove specific subject MARC tags from the Aleph database index and to suppress the fields from display. This action supports the cleanup performed during the initial LTI authority database project. Since there were no negative comments, Vicki Sipe submitted an Rx (no. 2516) to remove the 653 field from the index and to suppress the field from display. The second portion of the recommendation concerning 6XX fields with 2nd indicators 4, 5 or 6 has been put on hold for further investigation.
    2. The CPC sent to the COI’s for Cataloging and Database Maintenance and Serials/Acquisitions a request for comments on the recommendation to remove the former system numbers (035 fields with the 1st indicator 9) from the index. Since there were no comments, Vicki Sipe submitted Rx (no. 2515) to follow through on the recommendation.
    3. CPC worked with Carlen Ruschoff and LTI on the problem of music subject headings that split into two separate headings and how LTI handles the authority cleanup for the records containing these types of subject headings. LTI offered to correct the problem for specific music subject headings. CPC made the decision to accept the offer and are in the process of compiling a list of issues for Carlen to forward to LTI.
    4. Vicki Sipe represented the CPC at the Council of Library Director’s meeting on December 14 to discuss negotiating the purchase of cataloging records in a consortial environment. The CPC minutes contain a report of the discussion.
    5. The CPC revised the Marcive online-only loader specifications to attach 14 USMAI institutions’ holdings to bibliographic records for electronic United States government documents. The specifications have been submitted to ITD for implementation.
    6. The CPC sponsored an open forum at College Park on Friday, December 8, 2006 to discuss the implementation of the single record for cataloging journals in multiple formats in the USMAI catalog. Approximately 50 staff members from 11 USMAI institutions representing cataloging, serials, reference and circulation participated in the two hour presentation and discussion. The group provided excellent feedback to the forum, commenting positively on the availability of the forum documents prior to the discussion, that the presentation put the issue of single records into context, and that this issue reaches many groups including UITG, ERIC and RSTG. At the recommendation of the group, the CPC posted the presentations on the committee’s website. Cataloging and serials staff members who were unable to attend forum contacted the CPC with comments and questions.

  9. CPC members considered the feedback received from USMAI members and contributed additional revisions. Ruth will incorporate them and ask ITD to link the revised document to the CPC’s web page. The previous version of Bib Standards will be archived.

  10. Terms of Members to CPC
  11. Sipe stepped down as the CPC chair; Bass volunteered to be the new chair. Vikor resigned from the group. Sipe and Williams are limiting their current terms to one year (through Dec. 2007) with an option to reapply. Ruth, Bass, and the three new members appointed by CLD will have two year terms (through Dec. 2008), with an option to reapply.
