USMAI Cataloging Policy Committee Meeting Outcomes
July 13, 2007
Present: Bass, Davis, Glennan, Hanson (note taker), Ruth, Ryner, Sipe, Williams
- Call to order
Minutes of the June 15 meeting have been posted on the CPC website. It is agreed that the latest revision of Appendix B (Bibliography of Resources) to the USMAI Libraries bibliographic standards document is ready to post to the website.
For the upcoming ERIC forum on e-books, each Task Group chair will be asked to make a statement at the forum. CPC's statement will be on cataloging issues related to e-books.
- Decisions/Actions taken since last meeting
- CPC reviewed and commented on the procedure created by Linda Seguin to import CredoReference records into CatalogUSMAI. UMBC will start using Linda's procedure and will work with the other libraries using CredoReference titles.
- CPC members agreed, after more discussion today, that a gate-keeping process similar to the loader request process will be necessary for adding of new e-book collections to CatalogUSMAI.
- CPC agreed to look at the issue of displaying the 245 tag in the SH2 (Shelfist2 –Test) search results and to determine a course of action. After further discussion during this meeting, Vicki Sipe agreed to write a proposal to be presented to the Cataloging Community.
- Reassignment of Campus Liaisons
New assignments are needed because of Wilma Bass's departure. Assignments made as follows: Salisbury – Williams, Eastern Shore – Ryner, HS/HSL – Sipe.
- Committee Housekeeping
CPC needs a new Chair to replace Wilma Bass. Gordana Ruth has accepted the assignment to Chair the CPC for the remainder of Wilma's term. Gordana will also represent the CPC at meetings of the ERIC 2 Task Group. A new member will be recruited to fill until the end of 2008 the vacancy created by Wilma's departure. Other housekeeping: Kathy Glennan will update the wiki (campus liaisons, meeting roles).
- Authorities follow-up
LTI Processing FAQ: Kathy Glennan will make the final edits on questions #11 and #19 and have the FAQ posted on the CPC website. The LTI processing document, "Identifying Records for LTI Authority Reprocessing", was reviewed; Kathy and Gordana will make the final edits. Wilma noted that LTI's MESH processing seems out-of-date; e.g., 2007 deleted headings are still in our catalog. Wilma will provide examples to Kathy for follow-up. Vicki Sipe will complete the Authorities historical document and it will be posted with other authorities documents.
- Super-passwords
Super-passwords should be assigned on a limited basis, and use will be supervised by CPC. Criteria for assigning a super-password would include: work that serves the entire USMAI consortium; a broad database management and cataloging perspective; experience with TS processing in the consortial environment; experience with the Aleph system. Ryner will request a super-password to test on SM’s AutoGraphics legacy records project.
- Follow-up on Rxes
The committee members reviewed Vicki's list of outstanding Rxes (sent by email on July 12), and made assignments for follow up. Kat is following up on CES's Cat Express Rx and will be making a site visit. Rick Davis will follow up with Bill Sleeman regarding refinements in assigning records to the New Titles catalog.
- E-books at HS/HSL
HS/HSL is acquiring e-books and catalog records from StatRef. Wilma will submit a loader request to CPC on the Xrefer model.
- CPC Work plan
Vicki will update the CPC workplan according to the notes from the last work plan discussion; Heidi will create a version on the Wiki for editing by all. Kat has sent an email to Carlen about duplicate record clean-up (Goal 5 on the CPC work plan). Kat will also update Rx #1719 to include ocn, and will follow up on Marlene Vikor's emailed list of proposed post-version 18 upgrade fixes.
- Next meeting
It was agreed not to meet in August. Next meeting will be Friday, September 14, 9:30 am at UMBC (location details TBA) [later rescheduled for Thursday, September 13, at the UMBC Tech Center]. Potential agenda topics include:
- ERIC 2 e-book forum
- EPost-AV18 fixes
- EFollow up on loaders and New titles
- ESuper-passwords update
- ETraining for cataloging in Aleph (Vicki will send inquiry to COIcatdbmaint and COIseracq communities)
