Decisions and Actions Taken Since Last Meeting

ERIC2 Meeting Update

Gordana will send CPC members a link to ERIC2's workplan and their January minutes. They did not meet in February.

Split headings identified and reported by LTI

Kathy Glennan summarized the issues arising from split LCSH terms in relation to LTI's authority processing. The original heading will appear on unlinked headings reports after LTI processing. CPC agreed to rely on the analysis of LTI monthly reports to identify such headings and to post a notification of the old and new headings on the cataloging COI. This will allow each institution to decide how to proceed in correcting its own records. The COI announcement will include a reminder to enhance the OCLC master record when possible, or to use the OCLC error reporting form if the institution does not have enhance status. This procedure remains important even if we move to WorldCat Local.

Report of the USMAI Serials Record Study Group from 1/28

Kat Ryner stated that the report was sent to CLD and that it is on the agenda for their meeting this week. We will wait to make further plans about this project until receiving a charge from the CLD.

Kat also shared the highlights of Marlene Vikor's work to date in de-duping the database. Marlene used the single record approach document and added a few more procedures to address particular concerns. Kat will forward those details to CPC, along with the 65-page working list of duplicates, also prepared by Marlene.

ITD's Web Pages: Authorities

CPC discussed Kathy Glennan's draft of the authority-related web page linked to the USMAI workplan. We discussed issues surrounding the style of this document, the audience, and potential overlap with related CPC documentation. We agreed that the audience for this web page is not ITD; instead, this information should be a bridge between the cataloging-related documentation contained in the CPC web space and the technical specifications needed by ITD. Heidi Hanson will help locate the current AEX record extract specifications so it can be recorded here, rather than the current reference to a closed Rx.

As CPC reorganizes its own web space, we need to keep the USMAI workplan web space in mind.

Long records in Aleph

CPC discussed Linda Seguin's recent e-mail detailing the problems arising with long 505 tags in bibliographic records. We agreed that we should add a best practices statement about this problem in either USMAI Bibliographic Standards or the Aleph V.18 Guide for USMAI Catalogers. Vicki Sipe will look at both of these documents, and will make a recommendation for additional text and placement. CPC anticipates conducting this business via e-mail before our March meeting. Vicki will inform Linda Seguin about our plans.

Genre processing with LTI

Kathy Glennan led a discussion of the additional genre heading available at no extra charge from LTI:

We decided not to approach LTI for any additional genre heading processing at this time. Perpetuating the "old-style" coding is not useful; GSAFD and LCSH normally use the same terms anyway; and finally, the potential for incorrect flips for the last option made it undesirable.

Non-OCLC records follow-up

In relation to our report about sets of non-OCLC sourced records, CPC discussed the impact of other local decisions in getting our complete holdings (and special access points) in OCLC. Consortium members have created local records for various reasons, including temporary records for circulation purposes. CPC started gathering data about such local practices as part of the 019 de-duping process, and we believe that reports from Aleph giving us more detail about these kinds of records would be useful, especially in the context of using WorldCat Local. Gordana Ruth will notify Carlen Ruschoff about our concerns. Virginia Williams will make report requests on behalf of CPC that will identify non-OCLC bibliographic records (absence of 035 with ocm or ocn prefix). In terms of local additions to records, CPC would also like to know how many records have superholdings, with a breakdown by institution.

Round Robin

Heidi Hanson is chairing the search committee for the new ILS Team Leader. She expects the vacancy announcement soon and hopes for interviews in May. Each interview day will include a public presentation, and the consortium will be notified about the time/place of each. ITD still has vacancy for systems librarian. Yalan Qi still expects to focus on cataloging and to serve as the ITD CPC liaison, but the time frame for this change is uncertain.

Kathy Glennan: The regular monthly LTI processing (AEX) did not occur on schedule, presumably because the file size just exceeded LTI's threshold. She has been unsuccessful in identifying how to rectify this situation so far; Heidi will follow-up on this problem this afternoon.

Vicki Sipe: The meeting room at UMBC's Tech Incubator supports IVN teleconferencing. Audrey Schadt is particularly interested in participating in CPC meetings using this technology. Audrey and Vicki will explore this possibility further. Vicki reported that Yalan Qi is coming to UMBC next week to observe their copy cataloging workflow. Vicki will also spend the day with the new cataloger at Health Sciences and is in regular contact with the cataloger at Bowie. Finally, Vicki was reappointed to the CPC for another two-year term.

Virginia Williams was also reappointed to CPC for another two-year term. Virginia also announced that Hagerstown Center has signed up for Palinet, so now they have their own OCLC code. This will require future loader adjustments. She is waiting for official permission to use their authorization for cataloging.

Kat Ryner will visit CES at Horn Point on Friday. She continues to work on CES journal clean-up and on Saint Mary's browsing collection (legacy) records. She also reported on her conversation with Celia about updating CPC's charge. Celia informed her that she's looking at revising all of the group charges, using a template.

No reports from Audrey Schadt, Rick Davis or Gordana Ruth.

Future CPC Meetings

CPC agreed to meet on the following dates: March 26, April 29, May 27 and June 24. Meetings will be at the UMBC Tech Incubator, as long as Vicki can secure the space.
