Decisions and actions taken since last meeting

After discussion between UITG and CPC, serials are now excluded from the New Titles catalog.

Gordana forwarded SFX loader specs from ERIC2 to CPC and then COIAll for discussion and comment; forwarded suggestions on the ITD workplan from CPC to Carlen; updated the Loaders Request Status chart.; and asked Laura to update the Cataloging Contacts chart to include Maria Fernandez for HS.

Virginia submitted three Rxs to request changes to the Aleph database to incorporate MARC changes outlined in OCLC Technical Bulletin 254. Rx 3909 (new indicators and new subfields) and Rx 3911 (new language and country codes) are completed and the changes are in test and live. Rx 3904 (new tags 796-799) has been assigned.

Vicki submitted Rx 3862 to request changes to the overlay hierarchy in the ongoing OCLC loader; worked with Maria Fernandez and ITD to correct the way the loader treats MeSH headings (Rx 3846); will communicate with COIs for Database Maintenance and Serials about the issue of long 505 notes being truncated at 2000 characters (related to Rx 3711); and will update the Aleph V.18 Guide for USMAI Catalogers regarding the long 505 issue.

Rick submitted Ebrary loader specs for comment (for Towson) and they have since been submitted to ITD.

ERIC2 meeting (April 8) update

Gordana reported that an ebook subgroup led by Mary Gilbert (TU) is discussing normalizing the process of acquiring and cataloging ebooks. Drafting guidelines is complicated by the multitude of ways of acquiring and cataloging ebooks. Harvard has charts and cheat sheets. The subgroup will revisit last fall’s ERIC forum on ebooks and the questions that were raised there.

ERIC2 is looking at how to treat MARC record sets for e-journals and e-books, and the differences between vendors relating to these sets.

They are also discussing issues involving MARC records for online govdocs vis-à-vis authentication in the catalog. The lack of clarity in federal depository guidelines and what it means to provide access leads the issue to remain unresolved.

SRSG report follow-up

As requested by CLD, CPC confirmed that examining discovery tools for "the ability of the discovery tool to virtually merge records that are in different formats, multiple editions, and duplicate records" is important. CPC also discussed CLD’s request to "discuss whether there any specific tasks, or pieces of a larger project, that can be done to address this issue. CLD specifically asks that you consider a path that will require minimal effort for the maximum impact." Kat will draft a response to CLD advising that CPC be charged with pursuing SRSG’s solution b, "Merge some duplicates: Finish merging the duplicate records with URLs but do not attempt to merge any of the complex records with URLs or the duplicates without URLs. Duplicate serials records will continue to cause confusion for users."

Technical Bulletin 254

Virginia will update Rx 3904 and request that new tags 796-799 be added to validation tables and indexes (in other words, treated like 790-793).

CPC web site organization

Kathy will survey the COI for members’ top five resources linked from the CPC and/or CDM sites. This will guide the reorganization of cataloging-related web resources managed at the USMAI site.

SFX loader

Gordana reported that concerns have been expressed about the amount of effort that would go into implementing an SFX loader. There is a belief that commercial products currently exist that could better meet USMAI’s needs.

Given the amount of effort that ERIC2 has put into investigating commercial products and then writing specifications for an SFX loader, CPC is frustrated that this concern is only now being expressed. It was also noted that any commercial product that USMAI might purchase would require some sort of loader programming and a certain amount of staff commitment from ITD regardless.

The SFX loader is currently on hold. Carlen and Celia will meet with the CPC and ERIC2 chairs and one additional member from each group to discuss next steps.

Revised wording for URL notes

Following up on ERIC2’s recommendation that the wording in URL notes used in bibliographic records for electronic resources be changed to "Click on Find It button for information about online access," Gordana will a send message to the COIs that this change is effective immediately and that there is no expectation that existing URL notes will be changed. Vicki and Virginia will update existing documentation to incorporate the revised wording for URL notes. And Rick will review existing loaders and those in ITD’s queue for those that need the new wording incorporated.

Indexing changes for titles Regarding Beth Guay’s change request to indexes TRT and TTL, Vicki will test. To get a sense of the size of the problem versus the work involved in fixing it, Heidi will get a count and report out 711s with subfields n and t. This will help us see which categories these records fall into.

Round robin

Audrey raised the possibility of having a heading index on 245 subfield-a only. Also, SU is considering requesting loads of some MARC record sets. And they are beginning to catalog web sites (for examples, keyword search on "http").

Regarding Rx 3830, Virginia noted that Yalan replied that currently there are no tools to get counts from superholdings, and that it’ll take time to produce the report. Also, Yalan is working on Rx 3831 regarding non-OCLC sourced records.

Virginia noted that the next Technical Bulletin from OCLC will be released next week, and there will be lots of changes to authority and holdings records.

Gordana reported that the HEB loader might be moot as this collection might be cut due to budget.

Kathy reported that the semi-annual AUP processing run was done by LTI. A report of changed filing indicators allowed her to catch some problems caused by bad data. Also, while LC and NACO partners are getting ready to enter non-Roman access points into authority records, this action should not affect USMAI.

Rick reported that Ebrary records for ML are ready to be loaded. Yalan is working with Bill Sleeman to clarify a few things.
