USMAI Cataloging Policy Committee
June 24, 2008 Minutes

Decisions and actions taken since last meeting
Gordana notified the USMAI community of the wording change for the URL notes in the bibliographic records to read “Click on Find It button for information about online access”.
The committee reviewed Linda Seguin’s recommendation to remove the volume information in subfield v and 490 1 tag from the SRS index in preparation for authorities in the catalog. Everyone who responded agreed that it was a good idea.
Kat Ryner wrote to CLD recommending that CPC be charged with pursuing
SRSG's solution "b" regarding duplicate serial records, and CLD gave the
go-ahead to proceed. We will continue the work begun by Marlene Vikor
on the list of 1764 duplicate serial title clusters with URLs.
Gordana and Rick worked with Yalan to load the Sephardic and Ebrary records into the database.
Vicki informed the USMAI cataloging and serials/acquisitions communities about the truncation of 505 fields in the bib records, and updated the Aleph V.18 Guide for USMAI Catalogers.
Vicki has written a document about the URL notes replacement.
Virginia has amended a Processing Documentation document regarding USMAI’s practice of single-record cataloging to include the new URL notes.
898 Discussion
Among the items called for by Technical Bulletin 254 was the addition of tag 898, defined as Local Series Added Entry-Meeting Name. In our system, tag 898 had been defined as CARL Format Term. Arlene Klair and Ted Kruse provided information that allowed CPC to make a decision about redefining this tag. We don't need the old 898's any more. Virginia will tell Linda Seguin that we can get rid of the old 898's, and redefine the 898 as Local Series Added Entry-Meeting Name.
ERIC2 meeting update
No vendors have been selected yet. Access to E-government documents for non-affiliated users is still under discussion.
Series index change proposal
Linda’s proposal to remove the volume information in $v and 490 1 from the Series Browse index (SRS) is approved for implementation in the Aleph test environment. Gordana will inform Linda of CPC’s approval so that she can make the change.
Continue to load “Subject Authority Records for Validation Purposes” from LTI?
Kathy will contact LTI and request that we no longer receive these records. UITG will be informed of our decision, and will be asked for objections/confirmation. After this, a notification of the decision will be sent to Cataloging and Ser/Aq COI’s. Records already in the system can be purged later, if desired.
CPC web organization
Kathy received feedback from the COI’s. She will do a mock-up of the new organization. A GA from ITD will work on the site. CPC is planning to separate their own documents from general cataloging resources.
Safari records set
The loader specifications have been examined by CPC, and approved. Yalan will load the records from OCLC in Test first.
Finding DVDs in the catalog by language
Discussion postponed until next CPC meeting.
Expanding SCMI Reports from Aleph
Committee members are charged with seeing if their campus contacts want these monthly reports of invalid combinations, sorted by campus, on an ongoing basis expanded/modified in some fashion to suit their reports needs. Different combinations of the elements involved (Sublibrary, Collection, Material, Item Status) can be obtained. Barcodes and system bib numbers could be included. Response from contacts will be requested by Aug. 25, 2008.
Update on indexing changes for titles
The committee needs to ascertain the scope of this problem, and will discuss it at the next meeting
Round Robin
Vicki discussed the documentation of language for the URL notes. The old policy statement note will be archived, and the new one will replace it on our web site. The new document will be sent out to the USMAI community.
Virginia has updated the Processing Documentation document regarding USMAI’s practice of single-record cataloging.
Gordana is working with Montgomery County Public Schools library to help with incorporation of their records as they prepare for merge with the Shady Grove branch. New collection codes will need to be established, and there may be other work in store
Audrey asked another question on cataloging web sites. Any web site at all can be cataloged and placed in Aleph.
Heidi informed the committee that the March minutes are still pending.
Kathy noted that an email from Arlene Klair has been sent to the COI about WorldCat. College Park will be receiving from OCLC more fully-cataloged bib records in the future, and fewer abbreviated PromptCat records. She also discussed the LTI AUP report, and LTI’s accuracy regarding filing indicators. In general, its accuracy is high, but some records need to be corrected by hand.
