Topic 1: Meeting Agenda
Topic 2: Baltimore Hebrew University bib record load for Towson
Davis reported on the progress of the BHU project. Towson provided specs to ITD. Problems around records for rare books and protection of large number of local fields. Discussions with ITD have resulted in workable solution. Working toward a load in July.
Overall, there are about 55,000 records, out of which 12,000+ are not OCLC sourced. The 12,000+ can be run against OCLC to look for a match. About 55% of the OCLC sourced records (approximately 24,000) appear to be in Aleph. Hopeful that the OCLC ongoing loader can support some portion of the project. The non-OCLC records for which there is no match in OCLC might be loaded to OCLC as original records and then loaded into Aleph. Towson has been encouraged to look at the BHU system contract to see if there is any possibility of assistance from the vendor for migration of data from the system. ITD is talking to OCLC about what they can do in matching, loading original records, etc.
Topic 3: Decisions/Actions taken since last meeting
Schadt requested that the “Requesting new Bibliographic loader” by replaced by "Requesting new Bibliographic loader for electronic materials" and that "Requesting new Bibliographic loader for tangible materials" be added to the USMAI Bibliographic Loader page of the CPC web site. She also added the new Connexion setup document to the Catalogusmai Training and Orientation section.
The CPC members contacted their cataloging liaisons to initiate discussion about ITD’s patron purge project and to find out how each institution plans to deal with the lost items and the related holdings and bib records.
Sipe requested the code for integrating resources be added to the Aleph tables for the Leader (serial) position 07 (Rx 4675)
Sipe and Seguin continued to work on RXs: Ongoing OCLC Loader Change--Overlay Hierarchy (Rx 3862), 6xx 2nd indicators 4, 5, 6 removal from index (Rx 3325), and Rx 2516653 removal from index (Rx 2516).
Topic 4: Patron Purge Activities and long lost items
CPC members reported on plans for purge of lost items for their institutions and for their liaisons.
UB, UB Law, UM Law, UMUC, Frostburg, CES, St. Mary's, HS/HSL, Bowie, Towson, and Salisbury have completed their internal communication and are ready to proceed with the cleanup. Since they have relatively small number of items, ranging from 1 (UMUC) to several hundred, they will do the cleanup manually. Most are confident that they can complete it by the end of the summer, if not sooner. Frostburg has the largest number of lost items in this group (approximately 500) and aims to finish their cleanup by December. UMES folks have completed their cleanup already!
UMBC has about 3800 items and will need ITD's assistance, as will CP with over 11,000 items. UMBC is still in the process of talking within their institution about whether the item list needs to be further scrutinized or if they should be deleted at this point. CP recently made a decision to delete the whole lot, given the number of items, and the amount of time the scrutiny of the current list would require. The work on the serial titles will begin shortly and the cleanup will be done manually. It will be followed up by deletion of monographic items, with ITD's assistance. At this point CP does not know how soon the cleanup can be completed.
We have no information from Coppin and Morgan yet, but hope to hear from them soon.
Topic 5: Excel to MARC Project
Bill Sleeman at UM Law Library has requested investigation of an Excel to Aleph conversion method detailed on Aleph List and discussed at CPC meeting of Aug 26, 2008 (please see those minutes for more information on process). UM Law is interested in loading into Catalog USMAI a group of non-OCLC sourced records representing bepress (http://law.bepress.com/) materials in their institutional repository. It appears to UM Law that the Excel to Aleph conversion might be a good method for them to manipulate the data in the bepress records. At this time Sleeman projects an annual load. Request has been made for sample records. Davis will request that Sleeman create some sample records and convert them into Aleph sequential format. ITD will then attempt to load them with manage-18.
Topic 6: NetLibrary URL note
CPC was asked to reconsider its recommendation (see CPC Minutes Feb 2009) to not undertake retrospective conversion of URL notes in the catalog to bring them into line with policy implemented November 2008 (http://www.itd.umd.edu/LIMS3/DLM/Documentation/notes&taggingurl.html). Discussion resulted in consideration of processing URLs in NetLibrary records. Linda Seguin will generate some statistics and will look into options for processing. Discussion to be continued as next CPC meeting.
Topic 7: ITD report

Topic 8: SCMI Bad location report Rx4511
CPC discussed Arlene Klair’s proposal for optional exclusions from SCMI reports. CPC asked Seguin to investigate how difficult it would be for ITD to make certain elements optional and how much leeway campuses would have in choosing modifications to regular monthly SCMI reports. At the next CPC meeting, based on ITD’s feedback, CPC will decide how to communicate this information to USMAI.
Topic 9: CPC 2009 work plan
CPC reviewed their 2009 workplan and proposed additional changes. Ruth will finalize the plan and have it posted on their web page.
Topic 10: Loader documentation
Ruth brought up the fact that several of our loader specifications are missing from the Loader Requests page and that some existing ones needed to be updated. CPC members will finalize the specs as needed and request that the web page be updated accordingly.
Round Robin
Glennan reported on LTI processing. The unlinked headings report from the semi-annual processing was huge; it included 350 pages of subjects. She also noted that in initial processing, we had LTI strip out foreign language headings. Ongoing loader doesn’t touch these headings, so we have been adding them to the database. ITD is investigating suppressing them from display. While this would help, it won’t address the records that have French language subject headings with indicator 7. In both the monthly and semi-annual processing runs, LTI is changing indicators in 130, 240, 245 to correct filing indicator errors. Unfortunately, this change in indicators is not tied to authorized forms, so there can be occasional foul ups on foreign language articles.
Sipe reminded that CPC had discussed follow up on e-resource record sets loads and time lag in enabling access in SFX via FindIt. We will discuss at next meeting.
