Minutes of the ERIC2 meeting
June 18, 2007, 1-3 PM
UMBC Tech Center
Present: Wilma Bass, Mary Gilbert, Celia Rabinowitz, Linda Seguin (recorder), Marlene Vikor, Laura Wrubel
The minutes of the March 26 meeting were approved.
ERIC2 Membership
A discussion of the ERIC2 membership preceded other agenda items.
- Wilma Bass announced that she will be leaving HS/HSL in August to take a position at the National Library of Medicine. She will not attend the July ERIC2 meeting.
- Celia Rabinowitz committed to staying on ERIC2 through December 2007, despite taking on the role of Chair of CLD.
- Jean Phillips’ departure from ITD and ERIC2 leaves a gap in communication about loaders between ERIC2 and ITD. Rabinowitz plans to discuss with CLD Exec. the issue of communication between task groups and ITD.
E-books
- Bass reported that CPC has just begun discussing the single vs. separate record issue for e-books. While it was established that a single record was desirable for serials, it would prove difficult to follow that approach with massive loads of e-books, such as netLibrary. Some members of CPC felt that it would be a disservice to follow a mixed practice by following the single record approach when cataloging an e-book individually but to allow the separate record approach with batch loads. The discussion will be ongoing. For now, e-book batches will continue to be loaded without attempting to deduplicate against print records. If the planned SFX loader for serials is successful, we might consider attempting a similar loader for books.
- ERIC2 identified two sets of records for e-resources that are waiting to be loaded for most campuses. Loaders for these titles are already in production but require modifications in building holdings:
- Free netLibrary e-books – loader needs to omit holdings for UM Law and HS/HSL. This last load would bring netLibrary holdings up to date in the catalog.
- Gov Docs e-only set – loader needs to add holdings for all institutions except Bowie and Coppin.
Action Item: Seguin will contact Carlen Ruschoff to inquire about how soon these loads can be done.
- The group discussed the need for a process to ensure that purchased e-books be made accessible through MARC records in the catalog and activation in SFX, when available. This really needs to be an effort between groups such as ECTG, CPC, individual campuses, and ITD. In fact, there are few task groups who do not have an interest in the topic. Vikor suggested that all task group members be invited to the ERIC2 meeting in October to surface issues and discuss ideas involving access to e-books.
Action Item: Seguin will send e-mail to Rabinowitz (as CLD chair) to propose the meeting. Rabinowitz will broach the subject at a planned TG chairs meeting in the fall. ERIC2 will do planning for Oct. meeting at Sept. meeting.
- Seguin raised the issue of off-campus access to X-Refer e-books in the catalog. Currently, they are not in the SFX Knowledge Base and only three campuses have purchased titles from this collection. Seguin has determined a way to get the MARC records into the catalog, but the issue of off-campus access has not been addressed. Currently, we do not have a system in place to offer off-campus in such a situation. ERIC2 will spend time at the July meeting working on this and other technical issues.
MARC Record Sets for Serials
Outstanding issues:
- It seems premature to invest in MARC record sets before we have the SFX loader in place.
- The cost of these record sets is substantial.
- We still need to contact Ebsco about their product; Wrubel indicated that Day was willing to make contact.
- Much of our plan depends on having the SFX KB number in our catalog records. Can Serials Solutions/Ebsco accommodate putting the SFX KB number into the records that they provide to us?
- How is Harvard using MARCit in conjunction with the single record approach?
Action Item: Vikor will contact Harvard about their practices with MARCit.
SFX in Aleph version 18
Rabinowitz reported that she tested Find It in the v.18 test catalog from off campus and that the single login using Shibboleth is working. She had encountered trouble accessing resources from certain vendors but this could have been a problem with the test SFX. Wrubel reported that UMUC was encountering difficulties with the single login, because they use SSN to access online resources.
Meeting Schedule
Meetings have been moved to afternoons to accommodate new obligations for some members. The planned schedule is as follows:

- Aug. 14, 1-3 PM (location TBA)
- Sept. 11, 1-3 PM (location TBA)
- Oct. 9, 1-3 PM (reserved for all TG e-book discussion – location TBA)
- Nov. 13, 1-3 PM (location TBA)
- Dec. 11, 1-3 PM (location TBA)
