ERIC2 Task Group
Meeting Minutes
December 11, 2007
UMBC Tech Center Campus
Present: Linda Seguin, Betty Day, Ted Kruse, Marlene Vikor, Gordana Ruth, Celia Rabinowitz (minute taker).
- Annual Report: Review of the draft of the task group annual report on the closed wiki site.
- A contact with Ex Libris about their MARCit product in December 2006 was added to the list of interviews with MARC record vendors.
- Celia Rabinowitz was added to the list of members leaving during 2007.
- A link to the document on ebook linking options was added under " Improved linking via SFX from the catalog."
- Membership:
- As CLD chair, Rabinowitz decided that she could authorize the " extension" of ERIC II until December 2008. It is possible that ongoing work can be taken over by other existing task groups at that time.
- ACTION ITEMS: Rabinowitz will notify CLD of the extension and put out the call for applications for a new member.
- It was noted that representation from ITD is critical particularly from the Aleph ITD group in order to insure proper communication between ERIC and the programmers. Yalan Qi has been added to the ERIC II reflector and Rabinowitz will inquire about whether she might attend meetings when held at CP if the agendas have items of interest. Wrubel and Seguin continue to be links between ERIC and UITG for matters of interest regarding the public interface.
- Work Plan: A draft is on the closed wiki workspace.
- Added an item about access for unaffiliated users.
- 2008 Meetings: a meeting schedule was set and will be modified if necessary when a new member is appointed. The tentative schedule is on the wiki.
- ACTION ITEMS: Ruth will book a room at CP for the Jan. meeting. Seguin will book the UMBC space.
- The group will appoint a new co-chair in January.
- OPAC note for NetLibrary Records:
- Ruth raised the issue of a modified note for users of NetLibrary books that clarifies information about off-campus access via the Find It menu.
- ERIC proposes this text: " Click on Find It button for information about online access."
- ACTION ITEM: Seguin will take this proposed language to UITG.
- It was noted that inconsistent wording in URL notes would make it difficult to perform a global find and replace to change to new wording.
- Discussion of issues raised by an email from Bill Sleeman about taking advantage of the new 856/956 $7 functionality for record sets that have already been loaded. It was noted that sets already in the SFX Knowledge Base are targets and will not need to use 856/956 $7. Sets not yet loaded need proper loader specs so that the $7 is set. There may be other options for sets that have already been loaded. We would need more information to determine the best course of action.
- SFX Loader: Draft specs are available on the wiki.
- The extract from the SFX KB will be based on the object. If a campus has access to the object via any target, then SFX holdings for that campus would be added to the matching bib record. If non-SFX " www" holdings already exist for that campus, then SFX holdings would not be added. When holdings are deleted, the loader would leave non-SFX " www" holdings, which would have to be manually deleted if desired. Good reports will need to be produced so that manual cleanup can be done.
- When the loader identifies a matching record, the KB number will be inserted in field 035 in the bib record to serve as a match point and to indicate that SFX access is available and any 856 link to the resource may be deleted. If it becomes necessary to add a URL to the bib record in addition to the access via SFX, then 956 could be protected from deletion. If the URL is placed in the 956 it can be suppressed and it can stay in the record.
- Work will continue on the draft specs.
- Day discussed preliminary results from the ERM survey and noted that the second highest item was consistency in the links between the catalog and Research Port. This reinforces the need to devote time and effort to the sfx loader.
- MARC Record Sets:
- Day is working at setting up a phone call with TDNet for Friday, December 14 and will report back to the list (minutes will be amended if necessary).
- Day will work on an evaluation grid for responses from the vendors who have been contacted so that services and costs can be compared.
- The group indicated the importance of CLD maintaining good communication with all working groups about directions for the consortium regarding the catalog, WorldCat Local, interest in PAMs (public access management services), etc., so that groups are not duplicating effort or expending effort in the wrong direction.
