Meeting Minutes

Present: Marlene Vikor, Jean Phillips (co-chair), Bill Sleeman, Wilma Bass, Mary Gilbert, Celia Rabinowitz, Heidi Hanson, Ted Kruse, Laura Wrubel, Linda Seguin (minutes), Betty Day (co-chair)

Shift in Leadership: Jean Phillips is stepping down as co-chair of ERIC2. Linda Seguin will take her place.

Future Meetings
The next ERIC2 meeting is on Sept. 19, 10:00-12:00. Linda will see if the UMBC Tech Center is available. Future meetings will alternate between UMCP and the UMBC Tech Center, assuming that the Tech Center is available. Linda will look into it.

NetLibrary Records
Two changes to loader specification:

• Shorten note to “Click on Find It button”
• Delete 856 $3 on incoming NetLibrary records

When records are loaded, Jean will notify COIall. Will need a report indicating which existing NetLibrary records were not touched by the loader. The maintenance subgroup (Jean, Marlene, Linda, Wilma) will investigate. Betty will write an announcement, which should include these points:

• Access for all of USMAI to titles previously available only to UMUC
• URLs will remain in the bibliographic records until all NetLibrary titles are in the SFX Knowledge Base – but the URLs from the bib records will be displayed in the Find It menu.

ELUNA
Laura reported upcoming enhancements to the SFX Knowledge Base that were announced at ELUNA:

• Additional objects will be added, including proceedings, newspapers, manuscripts and e-books
• More alternate titles, gleaned from CONSER records, will be added to SFX KB records

Laura will announce new services as they appear.

URL Maintenance
Jean will write a draft announcement for the COIs about upcoming deletion of URLs, to the effect that, on records with LDR/07=s, 856 and/or 956 will be deleted if $u includes one of the 10 specified strings.

Verde
The plan is that consortially purchased resources will be maintained centrally at ITD and locally subscribed resources will be maintained in the local campus instance. This will allow some level of local control over campuses’ SFX Knowledge Bases.

Multiple 856s in the SFX Menu
Dave Kennedy made it work! He created five new targets in CP’s test instance (URL1, URL2, etc.) which allows up to five URLs from the bib record to display in the SFX menu. Everyone was very pleased. Discussion:

• Some records contain more than five URLs. Do we need more targets? This becomes a maintenance issue for the e-content team, as each target must be maintained in 16 instances.
• We could add a note to the last target saying, “See catalog record for more links to this item.”
• Do five URLs make the menu too crowded? Let’s try three for now and refer the question to UITG.
• We need a report of records with more than three URLs.

SFX Enabled URLs and Service to Unaffiliated Users
Celia will draft a statement of ERIC2’s position on URLs in bibliographic records for SFX enabled resources to be sent to COIuserinter and COIcatdbmaint. One of our aims is to create a more streamlined workflow by consolidating URL maintenance, to the extent possible, in the SFX Knowledge Base, thus providing better service to our primary users. CLD should determine the extent to which we plan for unaffiliated users.

More NetLibrary E-books
UMUC proposes adding MARC records for free e-books from NetLibrary (Project Gutenberg). The E-Collections Task Group is in favor of the proposal. Like the purchased NetLibrary books, campuses will have the option to load their holdings on all or none of the records. Betty will ask E-collections representatives to view the list of e-books on the NetLibrary site and say whether they want the records in their filters or not. Responses should be sent to ERIC2 by Sept. 15.

Other E-book Collections
Campuses are purchasing e-books from a number of vendors, some of which are SFX targets:

• netLibrary
• novel
• Books 24x7 (BusinessPro, FinancePro, and ITPro collections)
• Safari (Business and Tech collections)
• Gale Virtual Reference Library

and some of which are not:

• EEBO
• Eighteenth-Century Collections Online
• Making of Modern Law
• ACLS
• Xrefer

Discussion:

• Should we investigate loading records for any of these vendors? Some ERIC members prefer that we first concentrate on loading e-journals.
• E-book access is not too good in the SFX KB; many ISBNs are missing and they cannot be added locally.

CPC Proposal to Move to Single Record Approach
There was strong support for the proposal; some minor editorial changes were suggested. ERIC2 suggested that the proposal also be vetted by some other interested task groups, including User Interface, Resource Sharing, and E-Collections. If the task groups support the proposal, their representatives should send statements to the COIs when the CPC posts the proposal. Linda will draft a statement for ERIC2.

SFX Load
The Maintenance subgroup will meet to work on the draft SFX loader specification.

MARCit and Serials Solutions

• Several members will view the Ex Libris webinar on MARCit on 8/30/06.
• Marlene provided a presentation from Harvard about their e-journal workflow using MARCit records: http://hul.harvard.edu/cmtes/haac/ssssc/New_Workflows_for_Electronic_Journals.ppt . This should be useful in setting our own workflow, if we choose to use MARCit.
• ERIC2 had expressed interest in meeting with Serials Solutions representatives if they visit College Park. Carlen Ruschoff had inquired if ERIC2 would like to sponsor an open forum with Serials Solutions. The group did not feel that such a broad forum would meet its need to glean detailed information about specific services in which ERIC2 has interest. Jean will get back to Carlen about what she has in mind.
• At the next meeting, we should develop specific questions for potential vendors.
• Mary described some of the Serials Solutions services to which Towson subscribes. One service is to present print and electronic holdings side-by-side in an A-Z journals list. Laura reported that some SFX users are putting print holdings into SFX and she will look into what they are doing. Others pointed out that ERIC2 is striving to get print and electronic holdings side-by-side in the catalog.
• Discussion turned to the possibility of using MARC records (either from an outside source or from the catalog) to enhance journal data in Research Port. It seems that this is not really the sort of data that we need in RP, as it is currently a strict title list, and subject headings in MARC records would not serve the purpose of the subject categories desired in RP.
• These vendors are working with the OCLC E-Serial Holding Service: TDNet, EBSCO, Serials Solutions. Sites may also deliver data to OCLC on their own.

Communication

• Minutes do not count as monthly progress reports.
• It is unclear if task groups are to contribute to the e-news every month.
• ERIC2 should attempt to distribute its agendas to the COIs in advance of meetings.
• Heidi will set up a Wiki for ERIC2.
