ERIC II Task Group

Meeting Minutes

Members Present: Wilma Bass, Mary Gilbert, Heidi Hanson, Ted Kruse, Jean Phillips, Linda Seguin (Co-Chair), Bill Sleeman, Marlene Vikor, Laura Wrubel.

The group agreed to change the agenda to facilitate the discussion of related topics – URLs in bib records and URLs in the Find-It menu.

  1. The message about URLs in the catalog and online access for unaffiliated users is still needed. Jean proposed using the Wiki for this purpose, Laura suggested that perhaps a password protected section could be added to the site to facilitate collaboration on drafts.

    It was proposed that ERIC try to issue a progress report rather than a response or a proposal at this time. Linda agreed to try and draft such a report and send it out to the Task Group for review. Laura suggested that the report discuss the challenges posed by maintaining URLs in the catalog and why the ERIC approach offers the best options for updating URLs.

  2. URLs in the Find It menu update – Laura. Ready to go ahead with the display of multiple government documents URLs in the Find It menu. The group agreed to the limit of three and a note leading back to any additional URLs. Jean asked if a report of multiple URLs in records would be helpful. She will ask Ben to generate one. The User Interface Task Group will send out a message about the change. (UITG has since recommended increasing the number of URLs that display to 5).

  3. NetLibrary load update – Jean. The records are ready and should go to live in the following week. There was some concern about the need to load URLs in the bib records to account for the 10% of the records that are not linked though SFX, but the group agreed to go ahead with the load. The free NetLibrary records will be loaded using the same loader but with a modification to exclude HS/HSL and UM-Law. Jean asked if UB-Law also wanted to be excluded but Ted Kruse reported that they were interested in the free titles.

  4. SFX loader update – Linda, Jean, Marlene, Wilma. Jean reported on discussions of the Maintenance subgroup. Currently evaluating the ISSNs to improve or expand the matching points. The plan at this point is

    If one match = merge
    If two matches = select preferred record (what will happen to the non-preferred records in this scenario?)
    If more than two matches = report out for manual comparisons and selection.

    Laura reminded the group that it was extremely important for the individual libraries to be certain that their SFX KBs are up-to-date.

    Heidi pointed out that the new collection code for holdings of SFX-enabled titles will need to be created.

    Marlene reminded the group that in the event of no matches the stubby record could be the only record for a journal.

  5. MARC-IT records – Linda. The group agreed that we should invite representatives from both Ex Libris and Serial Solutions to speak to ERIC2 to better understand the MARC record services of both providers. Some of the proposed questions were:

    Jean will communicate with Carlen our concerns and interest in meeting with both SS and EL.

  6. Other business.
    Minutes from the last meeting will be posted as is.
    Jean will prepare a new announcement about the NetLibrary load
    Linda will include the NetLibrary information in the progress report
