Follow up Issues For the Plan
ITD
April 15, 2005
Hosting ILLiad for the consortium would require a feasibility study.
JP: RSTG is looking at this.
We need to gather additional information regarding ILLiad hosting. Prior to committing to a particular ILL solution, USMAI must discuss this in the broader context of resource sharing and other options.
JP: RSTG is looking at this.
We need a shared understanding of the relationship between Course Reserves and E-Reserves.
Put up user testing results on the web asap (ITD)
Barcode check digit functionality (partial)
Aleph Report Center for local creation of reports/statistics (ITD)
JP: in process in ITD.
Privacy statement at login. Dependent on agreement for text.
JP: revision of privacy statement waiting for establishment of privacy policy.
Have Resource Sharing Task Group revisit best practices for resource sharing among USMAI libraries (TT)
JP: RSTG is looking at this.
Establish a task group to investigate media booking module (TT)
JP: I believe this is a product that doesn't exist in our version of Aleph.
Establish a task group to investigate and make recommendations concerning reserves, e–reserves, and document delivery. Populate with members from resource sharing, catalog policy committee, database licensing, user interface, and at large
Reserves approach: Similarly to the ILL issue above, our approach to reserves functionality must be examined. First, we need to develop a common vocabulary in order to discuss the desired services, features, and workflows to provide a useful and easy–to–use service to our constituents who should not need to understand our organization in order to receive the items they require. This also relates to the access issue noted above in our USMAI vision and mission.
Do we need a group for circulation policy issues? Or does that fit with the Resource Sharing group?
JP: RSTG is handling inter campus issues. Not sure about need for other issues.
Text in brief Aleph display to explain "1/0" availability nomenclature
Display of availability information earlier in the Aleph retrieval process
Patron privacy text regarding the use of "my account" features to appear online
Copyright licensing text regarding the use of services and materials to appear online
Definitions of "serials"/"journals" to include annuals
What work has been accomplished on printing spine labels? CP, TU currently print spine labels, but the code has not been generalized; it has been revised for Aleph v16.
What issues remain regarding UC overseas functionality? Allowing client use and effect on time stamps, overnights, and need to do work at night.
How many sublibraries can be supported in reserves? Aleph v16 raises this limit to 20, but these must be shared with multiple services, e.g., advanced booking.
JP: Jamie is going to test the expansion of the number to 20.
Documentation and training to support common practices
Coordinated training and training materials
Consortial effort in developing workflow efficiency
Documenting circulation and database management common practices
Common faculty due date
Circulation notices and blocks standardization
Staff permission for deleting circulation and reserves created records
Patrons proxies
Expanded implementation of MacroExpress

Encourage Ex Libris to work with serials librarians to design a workflow efficient serials/acquisitions module
Patron privacy/record retention
JP: in process
Some standardization of labels
Aleph URL checker
JP: ERIC 2 will look at this later

End of semester cleanup in reserves
Shady Grove OCLC cleanup
Merging records with duplicate OCLC numbers
Batch deletion of sets of records from Aleph
Sending deletes to OCLC
Triggers in the Aleph modules
Keep MARC validation tables up–to–date
Bindery interface: LinkPlus cancelled, Able would need to be setup
New items OPAC base
System–wide collection development policy for e–resources
Determination of level of ADA compliance in public interfaces
Unifying of single sign on and my account display across all Ex Libris products and other services such as ILLiad.
What expanded functionality of the "My Account" feature is desired?
Consortial digital library development
Closer consortial relationship with the Copyright Clearance Center
Virtual collaborative workspace for instructional, research, and library faculty to work together effectively regardless of location
Consortial repository of library publications
Partnership with GPO
Scholarly communication education campaign
Institutional repository support
ILL approach: Many comments and questions have arisen over the ILL services that USMAI can support. As OCLC is changing its support for older ILL products and as Ex Libris flirts with offering ILL functionality and as other products have increasing value to ILL units, we must examine what approach to this important area of resource sharing best suits the consortium prior to committing to a particular solution. This relates to the access issue noted above in our USMAI vision and mission.
JP: RSTG is looking at this.
Off-site storage: While College Park has taken the lead on this issue, other interest has been expressed. The larger libraries are likely to face this need sooner than others, but it is potentially a common challenge. Arrangements are underway for Johns Hopkins and College Park to share a new facility located at the Applied Physics Laboratory in Columbia/Laurel. Currently a separate database system is used for processing and tracking items relocated to off-site storage; this is not ideal by any stretch of the imagination. Integration of this effort into Aleph is highly desired. Changes are needed to facilitate the move to the new facility in summer 2005.
TW: Moving this function to Aleph is postponed indefinately.
Aleph acquisitions/serials filtering (EL is working on this)
Circulation notices (including standardization of notices)
Confidentiality log-on message
Ability to search on "&" with predictable results in OPAC
Include annuals in journal base
Local control of Aleph tables
TW: Local control of Aleph tables-not secure at this time, will not be pursued.
