Questions and Answers for Reports

Questions/Answers are for the reports that ITD is currently working on, namely Shelf List Report (available for request), Count by Call Number Ranges (CARL CNREP, in test), and Sublibrary/Collection/Material type/Item status (CARL BLMREP, in test) for all the reports utilizing data from Z00 (HOL), Z13 (short bib) and z30 (items). More Questions/Answers will be added as they become available.

Q: what's counted in Z30, temporary or permanent location?

A: it counts the location an item has when a report is run, whether it is the temporary or permanent location. The counts may vary from time to time. For example, the report is run in the morning, your staff changes some items to a temporary location, and then the report is run again, the counts will be different, for some counted with the permanent location and some with the temporary location.

Q: what does 'z30 location' refer to?

A: temporary location

Q: can we request a report by cataloger?

A: yes, you can. Cataloger is the Aleph term for operator/user name who makes changes to an item, such as changing sublibrary, location, processing status, barcode, item status, etc. The data is stored in Z30H (item history). Time range can be used to limit data to a specific time period, say between 20030102 - 20031231.

Q: does z13 imprint include subfields a, b, and c?

A: yes, it does. You can list out fields for publisher or publication date. However, you cannot for now use it as selection criteria, meaning it is impossible to produce a report/count of all items that published before/after 1970 without some extra programming work. We may look at one of the dates in 008 field.

Q: what item processing status should be counted?

A: the campus has to decide what to include when requesting a report. The following status are excluded: OR (on order), OI (order initiated), EX (expected), and NA (not arrived). Other possible candidates for exclusion are: MI (missing), DW (damaged withdrawn), LP (lost and paid), NE (not expected ) NP (not published), WI (withdrawn), etc. Please be specific when requesting report. Or provide me a list.
