Transactions by Budget (Report-Budgets)

The Transactions by Budget or report-budgets, as the actual program is called, lists out all of the invoiced and encumbrance transactions of a single budget (and subset, if requested) or list of budgets (and subset, if requested) or all of a campus' budgets or all budgets within a given date range. Transactions that have not been invoiced are reported as encumbrances.

1. Reports listing items received on special funds (this was available in Carl)
2. Reports by order status allowing database clean-up projects (this was available in Carl)
3. Reports to serve as monthly ordering report for liaisons
4. Reports to serve as monthly arrival reports for liaisons
5. Reports to serve as monthly ordering reports for selectors
6. Reports to serve as monthly receiving reports for requestors

Selection Criteria: any combination of budget, order type, order status & order status date Budget:
a single budget or a list of budgets or all budgets or all of a campus' budgets or a single budget/list of budgets and all subsets (child, grandchildren, etc.) e.g.: BC-18-ADM-2003, CP-01-6E-2003, SM-1ARL-1996, TU-3725-BD-2004, All budgets, etc.

Order Type:
a single order type or a list of order types or all order types or all order types excluding the specified order type/list of order types e.g.: Books, Standing Orders, Serials, All order types, etc.

Order Status:
a single order status or a list of order status or all order status or all order status excluding the specified order status e.g.: New, Send to vendor, Closed, Cancelled, Ready to send to vendor, etc.

Order Status Date:
all dates or a specified date range or all dates up to a specified date or all dates from a specified date to present e.g.: All dates
June 2002
May 6, 2001 to March 14, 2004
All dates up to July 8, 2002 or up to 3 months ago
All dates from July 8, 2002 to today or six months ago to today

Invoice Date:
all dates or a specified date range or all dates up to a specified date or all dates from a specified date to present e.g.: same as order status date format

Display/Listing: columns are from Z13, Z601, Z68, Z70
Z13 - Title (up of 100 characters)
Z601 - Budget, Amount, Invoice Date
Z68 - Order Number, Order Status, Order Status Date, Copies & Requestor
Z70 - Vendor Name

Sorting: select one of the following to sort by:
Budget
Title
Requestor
Budget/Title/Requestor (default)
Budget/Requestor/Title

Final Report: are located in Aleph Task Manager and/or an attached plaintext file.

Run Frequency: by request; submit request via Aleph Web Report.
