USMAI Resource Sharing Task Group Minutes
July 10, 2006

- The June minutes were approved.
- Action items from June meeting.
- The WIKI URL is www.itd.umd.edu/pmwiki/pmwiki.php
- The ILL agreements and scanning form are up on the RSTG page. Jacquie suggested saving the form in html so it could be filled out on line, but it was decided to leave as a pdf for easy printing and use.
- Jamie will revise other information on the RSTG page
- Circulation Subgroup update
- The Subgroup met on June 13, with the next meeting July 12.
- Paula announced that Jamal will not be serving on the Subgroup as he has left the USMAI.
- The Subgroup reviewed their charge and reviewed the ITD report. They plan to focus on the patron purge first. They would like RSTG to approve their suggestion re patron purge mentioned in Paula’s July 5 email. RSTG will review the suggestion quickly and send it out to the COI for discussion and then forward on to CLD.
- They also discussed overdue in transit books.
- They suggested that the COI reflector for Resource Sharing should split out a Circulation reflector so that the Circ folks could monitor Rx reports.
- The Subgroup also discussed patron privacy and SS#s.
- Consortial ILLiad update
- Salisbury and UMES installations and training went well.
- Salisbury is to go live today.
- UMES is converting from the Atlas shared server to the USMAI consortial system and should go live in early August. They will run tandem systems until the old system ILLiad transactions are completed. UMES will need to archive their old system ILL records for at least 3 years for copyright compliance.
- Jamie will set up the ILLiad web statistics for the consortial libraries.
- Jamie, Carol and Robin will schedule next implementations, with Frostburg first.
- Big thanks to Hans, Dave and Uche, among others, for their great help in getting everything in Consortial ILLiad working!
- Carol asked about funding coverage for travel and meals for consortial business. Beverly will talk to Barbara Gontrum about the CLD guidelines for travel.
- Beverly suggested a celebration when everyone is up and running in Consortial ILLiad. There was also discussion about scheduling an all USMAI ILL meeting in the fall, to discuss the implementation and how it’s going.
- Discussion of Communication within the Consortium memo from Barbara Gontrum. Beverly will ask Barbara for more clarification. RSTG will decide at the end of each meeting what information to forward on to the e-newsletter.
- Resource Sharing Updates
In keeping with RSTG’s charge to explore possible avenues for enhancing resource sharing:
- Robin and Tanner attended a demonstration of RapidILL at ALA. This is an articles-only ILL software that works with ILLiad. Both Tanner and Robin are looking at RapidILL independently for their own institutions, but will pass along pertinent information to RSTG.
- Stephen spoke with Pat Wallace from the Pratt, who will talk to RSTG about MARINA. She and Wendy Dobson will attend the 8/7/06 RSTG meeting.
- With the Aleph upgrade to version 18 next year there should be enhanced messaging. Hold/delete emailing would have to be done globally. At the Sept. 15 meeting RSTG will discuss version 18, the changes that will occur and PDQ, which will replace patron placed holds.
- Find it menus should only link to books, ILL links should link to all non-book materials. It should be a consortial decision what is accessible for ILL, but each campus can choose to use it or not. Stephen will tell Laura Wrubel that RSTG agrees about the ILL links, and likes the wording suggested “Use only if item can’t be requested from USMAI”.
- RSTG Website
There was discussion about the need for more information and discussion on the website about:
- the Circulation subgroup, its members and charge
- RSTG’s history
- What else should be on the website
Jamie will add the database abbreviations to the RSTG webpage
Beverly and Stephen will discuss website content and report back on Sept. 15.
Beverly will talk to Barbara Gontrum about the USMAI website look and feel, which needs to be improved.

- Circ subgroup has met and is working on specifications for patron purge.
- Information about the Circ subgroup
- History of RSTG and what we’ve done: consortial ILLiad and participation at International ILLiad Conference; COI all-ILL and all-Circulation meetings; Circ and ILL agreements, Circ subgroup.
Next RSTG meeting will be Monday, August 7 at the UMBC Tech Center, 9 am – 1 pm.
