Minutes (DRAFT)

Present: Jamie Bush (by phone), Beverly Gresehover, Paula Langley, Stephen Miller, Robin Moskal, Sharon Payne, Carol Vaeth, Tanner Wray

  1. Approval of January meeting - We reviewed the minutes from the January 8, 2007 meeting. The minutes were corrected and approved. They will be sent to us electronically.

  2. ILL Meeting - Discussion was held about the ILL meeting held on February 19, 2007. The group shared positive comments about the meeting. Paula will be sending the minutes from this meeting. Carol will draft a survey to send to all staff that attended. Questions will include convenience of location, parking availability, amount of time allotted for meeting, food, feedback on presentation from Genie Powell from Atlas, etc. We will also ask for comments/feedback on the current ILL agreements, such as do you refer to the agreements? Are you able to comply with the agreements? When all of the survey results have been submitted, Tanner will compile the results. Target date for surveys to be sent out: 3/22/07 with the replies due in by 4/1/07. Each staff member attending the 2/18 meeting will be asked to complete a survey.

  3. ILLiad Implementation - Bowie and Coppin are now both in production. Morgan is having problems with a virus and is not currently up. We discussed the ILLiad upgrade to Version 8.2. The upgrade will be sometime after the Aleph 18 upgrade, possibly around August 1.

  4. Circulation Subgroup Update – The Circulation subgroup met on February 7. LaTanya West, the Circulation librarian from UMBC has joined the group. The results are in on the proposed synchronized faculty due date. The majority has chosen scenario #2 (May 1/December 1). Bev will draft a letter to submit to the CL D for their approval. Jamie said that if approved, the change would probably take place with the Aleph Version 18 upgrade. The change would need to be tested in the test version before coming live.

    Paula will write up her testing of the Offline Circulation function and bring that information to the RSTG meeting on April 16. Paula will also send us a draft of a questionnaire concerning patron blocks that will be sent to the circulation contacts. This will cover when to place a block, when to override, exceptions, etc.

    We discussed phase II of patron purge using the USM records retention standards document. We discussed re-wording several of the statements on this document including patron registration and the PPH delivery statement. Information will be sent to the PDQ testing group (Lea Messman, Celia Rabinowitz, and David Wilt) for their review.

  5. RSTG Membership Terms – We discussed the sunset date of our group (December 2007) and the process where we will rotate off, gradually allowing new members to apply and join. The new group should cover a broad scope of staff to include ILL and Circulation staff. This process could possibly begin during Summer 2007, into Fall 2007. We also talked about the possibility of asking CLD to appoint us as a standing committee. The Circulation subgroup would also continue beyond the December 2007 date. Bev and Stephen will draft a letter to CLD.
