RSTG Meeting Minutes
July 21st, 2008

Present: Mark, Sharon, Everly, and La Tanya (minutes)

Absent: Tammy, Nancy, Hongyan (arrived after meeting adjourned)

ITD update sent via email on 7/22/08:

1. LaTanya and Hongyan will continue to test printing dispatch

   We tested the setup, LaTanya reported that it did not work well. I will plan with LaTanya to have a site visit after next RSTG meeting.

2. Hongyan will check into bringing ILLIAD 7.3 up before December and report to RSTG no later than the end of summer about plans for 7.3

   I am currently working on CP Illiad 7.2 web page upgrade. The plan is to finish it by end of August. I will look at my other projects priority and schedule, I will update to the group on if it can do before December by then.

3. Hongyan will report on closed days application in ALEPH

   I have talked with Jamie Edwards. He recommended David Wilt to test it. I will Contact David for this task.

4. If DOB is used for matching, Hongyan will check into whether it can be suppressed from view after matching – report on meeting with Hans

   Based on Hans, it needs research for that. Currently, no available program to suppress it. It may be possible to store the data at different field.

5. Hongyan will check whether report of patron registrations and registration renewals can be requested by campus – report on meeting with Hans

   I think ITD is working to create patron loader for all the campuses without a patron loader currently. I think that this request will lost ground once everyone has loader. Any thoughts?

6. ITD enabling set up of USMAI groups in ILLiad for stats purposes – progress?

   I need to work with team on this issue. I will update later.

7. Editing ILL templates for email notices for consortia/satellite campuses – what is possible?

   The contents in the email notices are empty because the values in Customization Manager are empty. Some of the contact information may not consistent between email templates and CM. But it is configurable.

8. Confirmation of ITD’s policy to respond to RXs or other communications within 5 business days

   I have to check back with our team about this policy.

Circ Subgroup:

1. Match Point survey responses – Most campuses agree to date of birth and name as match points. However, it seems that ITD will only use one criterion.
   • Decided to just send information instead of recommendation.
2. Circulation subgroup discussion–
   • Suggested assigning tasks to members of the group.
   • Mark talked to Celia about communication issues and Celia suggested updated the "Operations Manual" to delineate responsibilities and expectations. Not sure when this manual will be made available.
   • Mark met with Nancy and they suggested asking directors to grant leave time to work on committees.
   • Mark briefly discussed a reward/appreciation system for service on committees, but hadn’t worked out the details.

ILL Subgroup – Sharon

1. A site visit to Shady Grove for the whole group is being planned. The group decided not to send recommendations for document delivery at Shady Grove until after visit.
2. Waiting to come up on ILLIAD 7.3 to run web circ– would like everyone to be up on ILLIAD 7.3 by end of summer instead of fall as currently planned.
3. The group is working on survey for preferred delivery notification.
4. Also working with ITD to access ILLIAD stats for other campuses:
   • Mark mentioned that ILLIAD stats are often incorrect
   • Robin has set up statistics in the consortial version but libraries cannot access them currently
5. Next meeting will be held during site visit at Shady Grove.

Other

1. Call for member has to go out: Either Mark or Nancy will send request to Celia for applications.
2. Mark had no information about privacy memo going to directors-will ask again.
3. Mark has talked to Hongyan about updating RSTG site- not done yet.

RSTG Charge was briefly discussed and new charge was acceptable to group.
