RSTG / Minutes September 15, 2008 UMBC Tech Center

In attendance: Nancy Patterson, Mark De Jong, LaTanya West, Everly Brown, Tammy Taylor (note taker), Hongyan Sun, Megan Davis, Special Guests: Carol Vaeth & Robin Moskal

Introductions: Welcome to Megan Davis, new RSTG Member.

Approval of 8/18 meeting minutes: approved via email.

1) ITD Report (Hongyan): a. Aleph "printing dispatch" testing – update on working with LaTanya at UMBC: Hongyan will work on this project September 2008.

b. Aleph "closed days" application and survey of campuses: Hongyan will work on this project September 2008.

c. Aleph DOB or other field suppression – ITD response re: willingness to help with script: No suppression capable. To display the DOB somewhere else on the patron's record will take some research by Hans.

Action Item: Mark and Nancy will will subit an official request to Hans to see if he is willing to do the research.

d. ITD timeframe for ILLiad 7.3 update - (pre-Dec implementation requested): Hongyan should have this completed by October 2008.

Action Item: Hongyan will test the servers in September 2008, then work on the upgrade and complete by late October. Action Item: Hongyan will ask campuses to test and get the results back to her within one week. Action Item: Carol and Robin will get a list together of the IT staff and send to Mark and Nancy. Action Item: Mark and Nancy will forward the IT staff list to Hongyan.

e. ITD timeframe for enabling "groups" on shared ILLiad server for stats generation – update on talk with Carlen about which programmer is responsible for ILLiad implementation: Hongyan will meet with Carlen to determine when this can be done.

f. Aleph able to generate report of patron registrations/renewals by campus – ITD response as to possibility of this.

Action Item: LaTanya will send the campus list survey to Tammy and Tammy will update her RX Request.

g. Booking Module Project: Completed by Hongyan.

h. ILLiad 7.2 upgrade for College Park: Completed by Hongyan.

2) Circulation Subgroup Report (Everly, LaTanya): a. CircResILL COI ‘closed days’ and ‘lost processing status’ survey feedback: Results - Most campuses want to know how they will know when the status has been changed for "lost processing status".

Action Item: Hongyan will work on this project September/October 2008.

b. Everly – relayed info to group about updating the parking lot list? Is it ready? If not, what is the timeframe for completion: The Parking lot issue will be put onto the November Agenda.

c. Phase I Purge: Can this be run again? We missed the Summer deadline.

Action Item: Everly will put in an RX Request for this to be run for every Campus.

d. Overdue In-Transit List: Each campus should print out and look for items.

e. Campus Identifier Number: has changed from 6 0's to 5 0's.

Action Item: Everly will put in an RX Request to see why this has changed, and to find out why we were not notified ahead of time.

3) ILL Subgroup Report (Sharon with Special Guests, Robin & Carol!): a. Report on August 26 th SG visit: Subgroup members met with Katalin Mouyal and Madhu Singh of SG Library to discuss the ILL Subgroup proposal to CLD on how to improve ILL and Doc services at SG. The subgroup went over the proposed SG scenarios with SG staff.

b. SG recommendations document update: submitted to Council of Library Directors September 2008.

c. Info to group re: Rx to Hongyan for editing of shared ILLiad email notice templates: templates will be done by Hongyan by 9/16/08.

d. Survey results for preferred delivery & notice: 7 out of the 8 campuses responded to the survey, so majority rules. Implement processes in phases: Phase I – Nonreturnables A & B; Returnables B Phase II – Returnables A to be shipped directly to and from SG Scenarios II and III will be deleted from recommendation.

4) RSTG Co-chairs' Report (Nancy & Mark): a. Celia/Carlen response about getting FERPA guidelines: waiting to hear back fro Celia and/or Carlen.

b. Email to Hongyan (cc’d to Carlen/Celia) about which Rxs are outstanding: waiting to hear back on this topic.

c. Updated Subgroup charge on wiki: done.

d. ILL Contacts list on wiki - thank you, Carol!

e. Open Rx Requests: should be checked by each Campus.

Action Item: Everly will send out an email to each campus asking them to look at all of their "open" Rx Requests for Circulation and have them ask ITD to close out the ones that have been completed.
