Meeting started with introductions from the various campuses represented
RSTG highlights - Robin Moskal
- Reminded meeting attendees of RSTG charge and went over recent highlights:
- Accomplishments-
- Circ. Subgroup completed an alumnisurvey
- Aleph v. 18 testing
- Due date agreement reached for most campuses (May 1st and
December 1st)
- Off line Circulation was tested
- Determined parameters for records retention: 3 years for ILL
- ILLIAD training was conducted for satellite campuses
- Circ and ILL Annual meetings
- Presentations- Presentations on Consortial ILLIAD
- Educause
- International ILLIAD meeting
- MAILL
- Discussed upcoming goals for RSTG
ITD update- Hongyan
- January 16th- ILLIAD 7.2 upgrade completed
- Satellite locations had webpage and application upgrades
- UMCP upgraded software only- will upgrade webpage later
- Were glitches; but they were worked out with OCLC
- New version allows manual delete and clear patron
- Email problems were resolved.
- Working on issues with borrowing incoming
- Robin and Carol will compile choices for drop down menu for ILLIAD
- Group will need to decide if they want to hide the notification, delivery and email methods or offer their patrons the choice; it is not clear if they can be done separately for each satellite campus
ILLIAD 7.2 discussion
- Submit RX for problems, double check for existing similar Rx's and add your concern to that Rx instead of starting a new one
- There have been updates to Tips and Tricks Manual to reflect 7.2 changes
- Carol encouraged all campuses to at least bring up 7.2 application even if they don't upgrade webpages right away. Hongyan reminded users to implement email manager when they bring up web pages
- Morgan is still waiting to get into their building, probably another month. Then ILLIAD will be brought up.
General ILL Discussion
ILL agreements-did not see any need for major changes. It was suggested to use email instead of rescanning sheets- will be added to ILL agreements
Questions about accessing files after they have been sent but did not go through- suggestions made to archive items after scanning them within copyright legal limits
Discussion about using ODYSSEY and ARIEL interchangeably; Ariel files move into Odyssey, but Odyssey files cannot be moved into Ariel.
Questions about consortial incidents of ILLIAD
- Satellite campuses cannot use standard copyright clearance in ILLIAD as it shows all orders from all 8 campuses
- Tips and Tricks Manual details how to do it manually
- Carol suggested that it may require development for individual campus info to display
Tracking ILL transactions
- ILLIAD Web reports are very useful for tracking a number of transactions in different ways
- Can set up groups for statistical purposes (borrower types, etc.)
Turnaround times - can use ILLIAD reports to see campuses' rates of processing
OCLC allows deflection automatically especially useful for collection types you don't loan; OCLC also has several report options- can set up to get email reports
- Most Requested Journals listing useful for collection and E-resource
Management.
Duplicates can be found in Awaiting Copyright Clearance cue. Arrange journal or article title column in alphabetical order to check. Be sure the requests are from the same patron. After requests have been processed, you can check for duplicates by going to the Tool Bar and selecting OCLC>Search/Review Statuses>Check for Duplicates.
Helpful tips about using and setting up queues for workflows
Robin demonstrated Lending Pages for non-OCLC borrowers
Notification will be coming out to join OCLC Eastern's Copyright Consortium to get a discount in costs.
Schools are experimenting with services such as placing the hold-recalls for patrons instead of just cancelling requests and document delivery on the fly.
Beverly gave accolades to Carol and Robin for their ILLIAD work
