The Module:
Serials & Acquisitions is in one module in version 16. There is no Items module. Item functions are incorporated into all the modules.
Split Screen:
The new interface has split screens. There is a left pane and an upper right and a lower right pane. You can resize the panes by moving the bars between the panes. The left pane has icons for different functions (serials, orders, invoices). Across the top of your screen are search bars for serials, orders & invoices. Be aware that there are sometimes buttons on the far right side of the screen. You may need to resize the pane or scroll up and down depending on your monitor. You may also need to scroll up and down within a pane to find information.
Overview Window:
The Overview Window has the information that is in the Navigation Window in version 15.
Search:
Search is no long a different module. It can be accessed in all Modules using the green binocular icon. Browse and Keyword options are available.
Barcode searches:
Searching by barcode will now take you directly to the item with that barcode, even for large sets. This did not work properly in version 15. The barcode search is available on the Item search bar in the Cataloging module. It can also be done in Search, Find tab 2 using CCL search BAR=[barcode #].
Mark & Delete:
In Check-in you can now mark several serial issues and delete them as a group. Use the shift/click or ctrl/click method (same as used in Binding) to mark the items you wish to delete.
Merge:
In Serials you can mark issues to be combined. Merge can be done in Group, not Check-in.
Mark the issues you wish to combine and click Merge.
In the lower pane edit the Item record to reflect the merge.
Click Update in the lower pane.
The combined issue will display in Check-in and the "merged" issues will have been automatically deleted by the system.
Budgets & Vendors:
Filters and permissions do not work they way they did in version 15.
Although you cannot touch other people's money, you can modify other campus' budget and vendor records.
Please be sure to use your sublibrary filter when you are in budgets or vendors.
Hierarchy budget structure displays at a parent level - new feature, great
Orders:
Order number label change: order number 1 changes to "Order number"; Order number 2 to "Additional order number"
Catalog order (fast cat) template: need to choose bib library, new; ignore the other libraries on the list, which is shared and can not be customized for Acquisitions. The 500 Notes field is eliminated due to the change of number of fields available.
Invoices:
Under certain circumstances, you can also attach other campus's orders to your invoice by mistake. Be careful.
When adding line items to an invoice, the Get Order search by title does not work properly. Be careful.
In line items, the invoice bar displays the invoice info (not the order info). The bib info and order info is available in the lower pane. Be careful.
Order save default: note field can now be saved as part of default.
Patterns and Holdings:
You can edit your HOL's in Cataloging. To see and edit your pattern use the Cataloging Module.From Serials:
Choose the Subscription List (L).
Highlight your subscription in the upper right pane.
In the lower pane click on HOL link (tab 4).
Your HOL should be highlighted. Click the edit button on the right. This will take you into Cataloging.
Pattern Preview:
When displaying the HOL in Cataloging:
Highlight the 853X field
Right click to see the Edit options
Click on "Preview Publication Schedule" (near the bottom)
The Pattern Preview will display.
Serials Control Setup:
In Serials, this window listing all the sublibraries is the first one you see.
Click "Check-in" or whatever function you are interested in on the left side pane and do your search. Apparently, if you have permission to check-in for multiple sublibraries you could narrow down which issues your check-in by choosing those sublibraries in this window and clicking update.
Serials claims:
Address on the Serial Issues Claim Letter shows UMBC. ITD is working on a fix for this problem.
Serials/New Issues Expected Date:
Subfield $3 calculation is different in 16. The claim interval is added to the date entered in the $3 during the creation of the expected date. For example, if in your pattern $3 you have 20050101 (the first issue expected on January 1) and your claim interval (in your subscription) is 30 days, when you open items your first issue will be expected on 1/31/04.
Subscription list:
Subscriptions for all libraries are displayed but only items for your authorized sublibrary are allowed to check-in.
Open Items:
Be sure when you open items that your subscription is highlighted. It is possible to open items for other campuses if their subscription is highlighted. Be careful!
Check-in:
Next expected issue not always highlighted. Unarrived issues may be missed for claiming. The check-in screen looks for the closest expected date to today's date and highlights that item. It doesn'st matter if "closer" is in the future or in the past.
Check-in only displays items with material type that begins with ISS, such as ISSUE or ISSBD.
Serials Bar:
Search options are different from 15. Note that the title search on the Serials bar is a word-phrase keyword search, not a title browse search.
Check-in Note:
The Check-in Note is now in the lower pane, in the Item form. You will see it when you are arriving an issue if you look at the lower pane on Tab 2.
