How to Allocate Money in Aleph v.18.01

Marking an allocation "initial" is very important, since it affects your choices for the year end closeout process. The screen defaults to "regular", so be sure to check "initial" if it's the first time allocation for the new fiscal year.

*Screen does not close, but goes back to initial screen that comes up after you click Transactions. To continue, simply highlight the next budget and click on Allocate.

To Transfer Money in Aleph v.18.01

Two methods:
  1. First method:
    1. Click on ADMIN (3rd icon on left bar)
      (alternate – go to VIEW at top of screen and click on Switch to Admin Table)
    2. Click on BUDGET TRANSFER (left bar)
    3. Select Budget from drop down box (right screen), or key in budget and press enter (must do this so budget information will populate the box). Go to the 2nd box and add the budget to which money will be transferred
    4. Put amount to be transferred in box in middle of page, and click on appropriate arrow. It doesn't matter which way you transfer money, but I would suggest going from left to right (i.e. the left box always contains the budget that money is transferred from and the right box the budget that money is transferred to)*
  2. Second method:
    1. Click on ADMIN (3rd icon on left bar)
    2. Click on BUDGET
    3. Highlight Budget
    4. Click on Transactions (no. 4, lower screen)
    5. Click on Transfer (lower right screen)

The budget you highlighted will appear in the first box. Add the budget where the money will be transferred to the second box, and follow the steps listed above.

Please note, when you click on the arrow to transfer the money, a box will appear that restates the amount and budgets you are transferring from and to, and will ask you to click OK. Whether you click OK or not, the money will still be transferred; this is not a means to back out of a transaction.
